Description: The Confirmation Letter on the Tour Chain platform, found within the Operation and Reservation Module, serves as an essential official communication tool between tour operators and clients. It's generated to affirm the specifics of bookings, covering a range of services like accommodations, transportation, guides, and any special arrangements or requests confirmed for the tour. The letter is comprehensive, encompassing:
Booking Information: It includes the names, contact details of the clients, and any specific preferences or requirements they might have.
Day to Day Tour Details: This section details the dates, destinations, itinerary, and status of the tour, providing a clear schedule for clients.
Services Confirmed: Here, there are detailed descriptions of all services booked for the tour, such as names of hotels, types of rooms, transportation arrangements, names of guides, and any meals or activities included.
Emergency Contacts: It also provides contact information for key personnel or offices to be reached in case of emergencies during the tour.
STEP 1 - Go to "Confirmation Letter" on Operation & Reservation Modules
Click on "Confirmation Letter" from the Menu

STEP 2 - Select the template and generate the email
Enter the necessary details, including template option, email, and phone. Afterwards, select the "Save" button to store the information in Email Management prior to sending the email.
You can revisit this email within Email Management to make edits and update the status to indicate that the link has been sent to the client.

STEP 3 - Copy Link or Send Email from the System
You can either copy the link to paste it into your private email or send an email directly to client from the system, which includes the link.
The email sent out to client including a link that can be update real time to client. Any update from Tour Operators can be update
STEP 4 - Edit Content and Send Email to client
Once the link and email were sent to the recipient, a copy of the email was automatically archived on the platform. Operators and Reservation teams continue to stay updated with the client.
Navigate to the "Email Management" tab located in the left panel menu.
Locate and click on the "Confirmation Letter" option.
Choose the specific email you wish to review and open it.
Edit the content as needed and proceed to update accordingly.
Clients can utilize the same link provided to access and review all the information contained within this confirmation letter.
